Terms and Conditions for Booking HKIA VIP Lounge
You are encouraged to make a Booking Request for using HKIA VIP Lounge. The Booking Request can be submitted through this Website or by email to hkiavip@hkairport.com.
If you wish to make a Booking Request through this Website, you must first register an Account. Please read these Terms and Conditions carefully before registering an Account. If you register and/or use the Account, you agree that you have read these terms and conditions and that you accept and agree to be bound by them.
If you make a Booking Request by email, your Booking Request will be handled by our Service Team. While doing so, our Service Team will submit a Booking Request on your behalf, which will be governed by these Terms and Conditions. As such, you will be taken to have read and agreed to be bound by these Terms and Conditions even if you have not submitted a Booking Request yourself.

Definition
- 1.1
- “Add-on Service” means services that are in addition to the Service and is subject to additional service charge to be paid by the Applicant. Provision of Add-on Service and their content are subject to change by the Authority and Business Partners from time to time.
- 1.2
- “Ad-hoc Service” means any additional service item(s) ordered by a VIP or a Companion while he/she uses the Lounge.
- 1.3
- “Airline” means the air carrier which the VIP travels with via HKIA.
- 1.4
- “Airport”, or “HKIA” means Hong Kong International Airport.
- 1.5
- “Applicant” or “You” means the person who registers an Account and submits a Booking Request to the Authority.
- 1.6
- “Authority”, “AA”, “we”, “our” or “us” means Airport Authority Hong Kong, a body corporate validly existing by virtue of the Airport Authority Ordinance, Cap 483, Laws of Hong Kong Special Administrative Region ("Hong Kong").
- 1.7
- “Account” means an account registered in accordance with these Terms and Conditions.
- 1.8
- “Booking” or “Confirmed Booking” means a Booking Request confirmed by the Authority, by which the Applicant will receive a confirmation via the email address provided by the Applicant.
- 1.9
- “Booking Request” means the request submitted by the Applicant to the Authority for the provision of Lounge Service through this Website or by email to hkiavip@hkairport.com.
- 1.10
- “Business Partner” means the Authority’s business partner and its employees authorised by the Authority to provide Service to VIPs and their Companion(s).
- 1.11
- “Companion” means a HKIA VIP Lounge user who is not a passenger but accompanies a VIP to HKIA VIP Lounge and uses part of the Service.
- 1.12
- “Contractor” means the contractor and its employees appointed by the Authority to provide the Service to VIPs and their Companion(s).
- 1.13
- “Law Enforcement Agencies” or “LEA” means any or all of the Hong Kong Police Force, Customs and Excise Department and Immigration Department of the Government of the Hong Kong Special Administrative Region, as the context may require.
- 1.14
- “Lounge” means the physical premises and facility of HKIA VIP Lounge where the majority of the Service is delivered to VIPs.
- 1.15
- “Membership” means a pre-paid package offering a VIP with limited or unlimited number of access to the Lounge and use of the Service within a prescribed period. Memberships are governed by separate Terms and Conditions of Membership and each Membership may in addition be subject to its own terms and conditions.
- 1.16
- “Pre-booked Service” means the Service (and Add-on Service if applicable) ordered by an Applicant through his/her Account.
- 1.17
- “Promotion Code” means the text code provided by the Authority to selected VIPs and Applicants representing an exclusive offer to such VIPs and Applicants, and may take the form of service charge discount or free service content. Each Promotion Code would be governed by its own terms and conditions.
- 1.18
- “Service” means the standard all-inclusive HKIA VIP Lounge service provided to VIPs and their Companion(s) by the Authority, which includes departing and arrival flight facilitation service, selected food and beverages, amenities, facilities in the lounge and tarmac transfer service, except the airport processes referred to in the Role of the Authority under the Terms and Conditions for HKIA VIP Lounge User.
- 1.19
- “Scheduled Time of Arrival” or “STA” means the scheduled date and time of your arrival flight to the Airport as stated on your air ticket when you make the Booking Request.
- 1.20
- “Scheduled Time of Departure” or “STD” means the scheduled date and time of your departure flight from the Airport as stated in your air ticket when you make the Booking Request.
- 1.21
- “Staff” or “Service Team” means the employees of the Authority providing services for HKIA VIP Lounge.
- 1.22
- “Website” means the official website of HKIA VIP Lounge including the self-service booking platform.
- 1.23
- “VIP” means the HKIA VIP Lounge user who is a departing or arriving passenger of Hong Kong through HKIA.

Registration and Use of an Account
- 2.1
- Please read our Privacy Policy before you register an Account.
- 2.2
- You shall provide the most up-to-date information when registering an Account. If there is any change to your information, you shall update your Account information immediately or as soon as practicable, or otherwise inform our Service Team so that we can communicate with you effectively.
- 2.3
- You are responsible for safeguarding the login ID, password, and/or other authentication methods which may be provided to you for accessing the Account. You shall not share these with, or transfer to any third parties and you shall immediately notify us of any unauthorised use of the same.

Submit Booking Request
- 3.1
- After successfully registering an Account, you may submit your Booking Request through your Account, and use your Account to check and revise your Booking.
- 3.2
- Youmay submit a Booking Request through your Account at least 48 hours before the STA (for arrival) or STD (for departure). For Booking Request that is less than 48 hours before the STA or STD, you shall contact us at hkiavip@hkairport.com for assistance.
- 3.3
- All VIPs within the same Booking Request must travel on the same departure or arriving flight. Separate Booking Requests should be submitted if there are VIPs travelling on different flights but wish to use the Service together.
- 3.4
- You may only make a Booking Request for a maximum number of ten (10) VIPs, ten (10) Companions and three (3) private rooms. If you wish to make a Booking Request for more than the above number of VIPs, Companions and/or private rooms, please contact us at hkiavip@hkairport.com for assistance.
- 3.5
- You shall contact us at hkiavip@hkairport.com for any special requests or assistance.
- 3.6
- You shall ensure all information provided in the Booking Request is complete and accurate. Any inaccuracy in the information submitted may result in prolonged processing time of the Booking Request or even rejection of the Booking Request.
- 3.7
- To ensure the Service quality, we are not obligated to accept any Booking Request or Add-on Service request. Upon receipt of your Booking Request, we will review the details and respond to you within 24 hours.
- 3.8
- All Booking Requests are subject to Service availability and we reserve the right to reject a Booking Request in the event that any of the Service requested is unavailable.
- 3.9
- If your Booking Request is accepted, an email will be sent to you with the following information:

- Booking number;
- 3.9.2
- Booking summary; and
- 3.9.3
- Payment link to proceed with your payment (if applicable to your Booking Request).
- 3.10
- If payment is applicable to your Booking Request, you shall proceed with payment according to the procedures outlined in Clause 5. Upon successful payment, you will receive another email as the confirmation of your Booking. If payment is not applicable to your Booking Request, you may treat the email referred to in Clause 3.9 as the confirmation of your Booking.
- 3.11
- You are responsible for safeguarding the confirmation email which contains important information of your Booking.

Revise Booking
- 4.1
- You may revise details of your Booking through this Website or contact our Service Team 48 hours before STA or STD and such revision will be reviewed by our Service Team. Subject to Service availability, such revision to your Booking may or may not be accepted.
- 4.2
- Please contact our Service Team for any revision made in less than 48 hours before the STA or STD as listed in the booking.
- 4.3
- Once a revision is accepted, a confirmation email with new Booking details will be sent to you. In case the revision results in additional service charge or a refund, please refer to Clause 5 and Clause 7 respectively.
- 4.4
- If a revision is not accepted, an email response will be sent to you. You may decide to proceed with the original Booking or to cancel the Booking.
- 4.5
- You are advised to read our Refund Policy set out in Clause 7 in case you wish to cancel your Booking.

Service Charge and Payment for Service
- 5.1
- Information on Service charges of Pre-Booked Service will be given after your Booking Request is accepted.
- 5.2
- All service charges are listed in Hong Kong Dollars (HKD).
- 5.3
- You shall settle full payment of the Pre-Booked Service online through a payment link provided in the email sent to you pursuant to Clause 3.9.
- 5.4
- Except where a Booking Request is made less than 48 hours before STA and STD, you shall settle full payment of Pre-Booked Service no later than 48 hours before STA or STD.
- 5.5
- Where a Booking Request is made less than 48 hours before STA or STD, you shall settle full payment of the Pre-Booked Service as soon as possible.
- 5.6
- The Authority reserves the right to cancel a Booking if full payment is not received 48 hours before STA or STD. If you encounter any issues with the payment, you are advised to contact us at hkiavip@hkairport.com for assistance.
- 5.7
- If a Booking is revised, the service charge may change according to the revised details. In case where the revision results in additional charges, a payment link with the additional amount will be sent to you for payment within a specified period. Failure to settle the additional payment may result in our rejection of any or all of Service items listed in the revised Booking.
- 5.8
- Unless otherwise specified, we accept payment by Visa, MasterCard, American Express, UnionPay, Alipay, AlipayHK and WeChat Pay.
- 5.9
- VIPs or Companions may order Ad-hoc Service while they are in the Lounge. Such Ad-hoc Service is in addition to the Pre-Booked Service and is subject to additional charges. Please refer to the Ad-hoc Service (Clause 6) of Terms and Conditions for HKIA VIP Lounge User for further details.
- 5.10
- The Authority reserves the right to terminate any transaction, including any Booking or payment if considered suspicious.
- 5.11
- The Authority shall not be liable for any payment fraud.
- 5.12
- The Authority reserves the right to change the payment mode at any time by announcement via the Website, email or any other means of public communication.

Cancellation of Booking
- 6.1
- You may cancel a Booking through this Website more than 48 hours before the STA or STD.
- 6.2
- Any request for cancellation of Booking less than 48 hours before the STA or STD is regarded as late cancellation and is generally not eligible for a refund.
- 6.3
- Please to refer to Clause 7 for our Refund Policy.
- 6.4
- The Authority reserves the right to cancel a Booking if there is any reason making the fulfilment of the Service impossible. Such circumstances may include but are not limited to:
- 6.4.1
- Full payment of Pre-booked Service has not been made 48 hours before the STA or STD as listed in the Booking or within the time required;
- 6.4.2
- Any incorrect booking information displayed on this Website due to technical issues or system unstableness; or
- 6.4.3
- Closure of the Lounge due to security, maintenance, safety and epidemic prevention, or other circumstances as determined appropriate by the Authority.
Refund resulting from these cancellations will be considered on a case-by-case basis at the sole discretion of the Authority.

Refund Policy
- 7.1
- This refund policy applies to Confirmed Bookings.
- 7.2
- The Authority shall have the sole and absolute discretion in determining applications for refund.
- 7.3
- Applications for full refund of the Service charge are generally allowed in the following scenarios:
- 7.3.1
- Cancellations or revisions to Booking more than 48 hours before STA or STD;
- 7.3.2
- Flight cancellation or a change in flight schedule by Airline;
- 7.3.3
- Trip cancellation due to Airline flight delay; or
- 7.3.4
- Cancellations due to closure of the Lounge.
- 7.4
- You shall not be entitled to a refund in the following scenarios:
- 7.4.1
- Cancellations or revisions to Booking less than 48 hours before STA or STD, unless otherwise determined by the Authority at its sole discretion;
- 7.4.2
- The VIP (and if applicable, his/her Companion) does not show up at the Lounge in accordance with the Booking;
- 7.4.3
- The VIP arrives at the Lounge late for his/her departure flight;
- 7.4.4
- Travel document(s) presented by the VIP does not match with the passenger information on the Booking record; or
- 7.4.5
- The VIP or his/her Companion is in breach of the Terms and Conditions for HKIA VIP Lounge User.
- 7.5
- The Authority shall review applications for refund on a case-by-case basis for the following scenarios:
- 7.5.1
- Cancellations or revisions to a Booking which involves specially arranged or customised service; or
- 7.5.2
- Part of the Service cannot be fulfilled due to uncontrollable factors.
In such case, refund of payment and the amount of refund shall be determined at our absolute discretion depending on the circumstances of each case. If we consider you are, wholly or partly, responsible for the non-fulfilment of the Service, we may decide not to refund or only to refund a portion of the payment to you. In this respect, the Authority’s decisions on whether or not you are entitled to a refund and/or the amount of refund shall be final and binding on both parties.
- 7.6
- The Authority shall not be liable with respect to any loss, damage, cost or expense that you or any person may incur as a result of any delay in processing any application for refund.
- 7.7
- After a refund application has been approved, the Authority will arrange for the refund through the same channel or medium used in the payment for the Booking within 6 to 8 weeks. The exact time for the refund is subject to individual banks’ policies and arrangement.

Warranties
- 8.1
- You declare that you are at least 18 years of age when you register an Account. If you are under 18 years of age, you are advised to ask your guardian to register an Account on your behalf and only use the Account with your guardian’s permission.
- 8.2
- You warrant that, if you make a Booking Request on behalf of third parties, you have:
- 8.2.1
- Informed all individuals named in your Booking Request that they need to comply with the Terms and Conditions for HKIA VIP Lounge User;
- 8.2.2
- Obtained appropriate consent from all individuals in accordance with the Personal Data (Privacy) Ordinance or other applicable data protection laws before supplying their personal data to us; and
- 8.2.3
- Informed each of these individuals and obtained their confirmation that they fully understand the personal data supplied to us, agree to the purposes for which their personal data will be used, and agree that their personal data may be transferred by us to third parties including the Authority’s employees, Contractors, Business Partners, Aviation Security Company Limited and LEA for the purposes of providing the Service, Add-on Service, Ad hoc Service and various airport processes referred to in the Role of the Authority under the Terms and Conditions for HKIA VIP Lounge User.
- 8.3
- If you are using another person’s credit card or mobile device in making payment for the Booking, you warrant that you have obtained that person’s consent before making the payment.

Liability
- 9.1
- The Authority accepts no responsibility except for the handling and processing of your Booking Request or Booking.
- 9.2
- To the fullest extent permitted by law, the maximum liability of the Authority arising from the handling and processing of your Booking Request and/or Booking, or otherwise from the facilitation of the Service, shall be capped at the amount of payment received in respect of the Pre-booked Services.
- 9.3
- Any losses incurred or sustained by you in transmitting payment information shall be borne solely and exclusively by you. Under no circumstances would the Authority shall be responsible for any such losses, whether in whole or in part.
- 9.4
- The Authority shall not be liable in any way for any damages, losses, costs, expenses, liabilities or compensation, whether direct or indirect, which arise from or are in connection with:
- 9.4.1
- Your access and use of the Account and/or the Website;
- 9.4.2
- Any breach of security, delay, corruption or destruction of data or systems (including but not limited to those caused by any virus or other malicious code), transmission error, inaccessibility (whether in connection with upgrading or modification of the Account and/or the Website, failure or insufficiency of the technical facilities or technical issues on your side) of the Account and/or the Website or any part thereof, whether due to the negligence of the Authority or its officers, employees, agents, contractors or otherwise; and/or
- 9.4.3
- Your failure to comply with these Terms and Conditions.

Indemnity
- 10.1
- You hereby agree to indemnify and hold the Authority, its officers, employees, agents and contractors harmless against all damages, losses, costs (including legal costs), expenses and liabilities suffered or incurred arising out of or referable to any claims, suits or proceedings brought by third parties arising out of or in connection with your acts, failures, omissions and defaults, including but not limited to:
- 10.1.1
- Any breach of warranties under Clause 8;
- 10.1.2
- Unauthorised access and/or use of your Account, this Website or any part thereof; and/or
- 10.1.3
- Your failure to act in accordance with these Terms and Conditions.

Data Protection
- 11.1
- By registering an Account or submitting a Booking Request you agree that we can store, process and use the data (including personal data) you provide for handling your Booking Request and/or Booking.
- 11.2
- We are committed to safeguarding the privacy of all individuals with respect to their personal data. We therefore make sure that our policies and practices in relation to the collection, use, retention, transfer and access of personal data comply with the requirements of the Personal Data (Privacy) Ordinance (Chapter 486) under the laws of Hong Kong. For information about our treatment of personal data, please refer to our Privacy Policy.

General
- 12.1
- Unless otherwise expressly provided, each email sent by us to you shall be deemed to have been received by you if there is no bounce-back or failure to deliver message is received by us within 30 minutes from the time when the email is sent.
- 12.2
- In case of any dispute between the parties in respect of or in connection with these Terms and Conditions, our determination shall be final and binding.
- 12.3
- The rights and remedies provided in these Terms and Conditions are cumulative and not exclusive of any rights or remedies provided by law.
- 12.4
- No waiver of any breach of these Terms and Conditions shall be effective unless made in writing by the party granting such waiver.
- 12.5
- No failure by us to enforce at any time or for any period any one or more of these Terms and Conditions shall be a waiver by us of the right at any time subsequently to enforce any or all of these Terms and Conditions.
- 12.6
- You shall not assign or transfer your rights or obligations under these Terms and Conditions without our prior written consent.
- 12.7
- If any provision of these Terms and Conditions is declared by any judicial or other competent authority to be void, voidable, illegal or otherwise unenforceable, the parties shall amend that provision in such reasonable manner so as to achieve the intention of the parties. Alternatively, at our discretion, it may be severed from these Terms and Conditions and the remaining provisions of these Terms and Conditions shall remain in full force and effect, unless we (at our discretion) decide that the effect of such declaration is to defeat the original intention of the parties.
- 12.8
- These Terms and Conditions shall be governed by the laws of Hong Kong and both you and the Authority agree to submit to the exclusive jurisdiction of the Hong Kong courts.
- 12.9
- We may revise these Terms and Conditions at any time without prior notice. Any change made to these Terms of Conditions will be posted on this Website. Your continued use of this Website after any such posting amounts to your conclusive acceptance of the revised Terms of Conditions. If any dispute arises, our determination shall be final.
- 12.10
- Where these Terms and Conditions are available in other languages, the English version is the governing version and shall prevail.
